Hire terms & conditions

These terms apply when you order temporary power, lighting or data for an exhibition stand from AJC Group. Last updated 25 September 2026.

01Who we are

The equipment is supplied by AJC Group (“we”, “us”), trading as AJC Power Supply. Our address is 21 Enterprise Avenue, Belfast Road, Downpatrick, Co Down, BT30 9UP. Our VAT number is GB321084051.

You can reach us at info@ajc-group.com or on 028 4461 7000.

02These terms are for businesses

We supply exhibitors in the course of their business, so these terms are written for business customers. They are the whole agreement between us and they replace anything said or written beforehand, including anything on your own purchase order.

03Placing an order

An order you place on this site is an offer to hire the equipment listed. A contract forms when we send you an order confirmation by email. Please check that confirmation carefully — especially your stand number and hire dates — and tell us straight away if anything is wrong.

We may decline an order, or part of one, where the supply you have asked for is not available at that venue, is unsafe, or exceeds what the venue has allocated to your stand.

04Ordering deadline and late orders

Each show has an ordering deadline, shown against the show when you order. It exists because your supply has to be designed, cabled and tested before the hall opens. Ordering closes at the end of that day.

Orders placed within 14 days of the first day of the show carry a 25% late order surcharge on the order value, because working at short notice costs us more. It is shown to you before you submit and itemised on your confirmation, and VAT applies to it as it does to everything else.

After the deadline we will still try to help, but late orders cannot be guaranteed and may not be possible once the floor is laid. Contact us and we will tell you what is achievable before you commit to anything.

05Prices, VAT and what is included

Prices are quoted in pounds sterling and exclude VAT, which is added at the prevailing rate and shown separately on your order.

Items priced per day are charged for every day of your hire period, including build-up and breakdown days you have asked for. Items priced at a flat rate are charged once for the whole hire.

The price covers supply, installation, connection and removal of the equipment listed. It does not cover your own equipment, anything you ask for on site that was not ordered, or a repeat visit made necessary by your stand not being ready.

06Payment

Unless we have agreed credit terms with you in writing, your order is payable in full before the show opens. We will invoice you after your order is confirmed.

We may withhold connection, or disconnect, where an invoice is overdue. We may charge interest and recovery costs on late payment under the Late Payment of Commercial Debts (Interest) Act 1998.

07Changes and cancellations

Tell us as soon as you can if you need to change or cancel. Increases are usually possible before the deadline and often afterwards; reductions depend on how far along the installation is.

Unless we agree otherwise, cancellation charges are:

  • More than 21 days before the first day of your hire — no charge.
  • 8 to 21 days before — 50% of the order value.
  • 7 days or fewer, or once installation has begun — the full order value, because the materials and labour are already committed.

If the exhibition itself is cancelled or postponed by the organiser, we will refund everything you have paid less any costs we have already and unavoidably incurred, or carry your order over to the rescheduled dates if you prefer.

08What we will do

We will install and test your supply so that it is live and working before the show opens, and we will remove it after the show closes. We will carry out the work with reasonable care and skill, by competent people, to the current edition of BS 7671 and the venue's own rules.

Where you have not told us otherwise, we position equipment where we judge it most sensible for your stand. Tell us in your order notes if it needs to be somewhere specific.

09What you need to do

  • Give us an accurate stand number and make the stand accessible during build-up. If we cannot get to it, a return visit may be chargeable.
  • Make sure your own equipment is safe, in good order and suitable for a UK 230v or 400v supply, and that portable appliances have been tested where the venue requires it.
  • Stay within the rating you have ordered. Overloading a supply trips it, and repeated call-outs to reset an overloaded circuit may be chargeable.
  • Do not alter, extend, move or interfere with our installation. Only we or the venue's electricians may work on it.
  • Follow the venue's health and safety rules, and keep our equipment clear of obstruction.

10Our equipment stays ours

Everything we supply is hired, not sold, and remains our property. You are responsible for it while it is on your stand, and for the cost of repair or replacement if it is lost, stolen or damaged other than by fair wear and tear or by us.

11Interruptions to supply

The electricity supply into the hall is the venue's, not ours. We are not responsible for interruptions caused by the venue, the network operator, another exhibitor, or a fault in your own equipment. Where the interruption is our fault, we will put it right as quickly as we reasonably can.

12Our liability

We do not limit our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, we are not liable for loss of profit, loss of business, loss of sales or of anticipated savings, or for any indirect loss. Our total liability in connection with an order is limited to the amount you paid for that order.

Please make sure your own exhibition insurance covers your stand, stock and trading.

13Your information

We use the details you give us to fulfil and invoice your order, to send you a reminder of what you have ordered before the show, and to tell the exhibition centre what has been installed on your stand. We do not sell your details to anyone.

Contact us at info@ajc-group.com to see, correct or delete what we hold about you.

14If something goes wrong

Tell us on site if you can — most problems are fixed fastest by an electrician who is already in the hall. Otherwise contact us at info@ajc-group.com or on 028 4461 7000 and we will respond as quickly as we can.

15Governing law

These terms are governed by the law of Northern Ireland, and the courts of Northern Ireland have exclusive jurisdiction over any dispute arising from them.
